Job Summary
We are seeking a detail-oriented Project Coordinator to support the delivery of our quantum security projects. In this role, you will work closely with project managers and consultants to ensure that all aspects of our engagements – from cryptographic inventory analyses to post-quantum implementation projects – run smoothly. You will handle project logistics, maintain documentation, track progress, and facilitate communication among team members and clients. Key Responsibilities
- Project Planning Support: Assist project managers in creating and updating project plans and schedules. Help define scope, objectives, and key milestones for quantum security engagements.
- Coordination & Logistics: Schedule and organize project meetings, workshops, and client presentations. Coordinate calendars and logistics for multi-location teams and ensure all participants are prepared with necessary materials.
- Documentation Management: Maintain comprehensive project documentation, including meeting agendas, minutes, status reports, action item trackers, and risk logs. Ensure that all project information is recorded accurately and is easily accessible to team members.
- Progress Tracking: Monitor project timelines and deliverables. Send reminders and follow-ups to team members on upcoming deadlines. Identify minor deviations or bottlenecks and alert the project manager to address them proactively.
- Communication: Serve as a central point of contact for internal teams and occasionally for client inquiries regarding project updates. Facilitate clear and timely communication of project information, changes, or requirements among all stakeholders.
- Quality Assurance Support: Assist in reviewing project deliverables (e.g., reports, presentations) for formatting, consistency, and completeness. Help ensure that all outputs meet Secure Quantum’s quality standards before they are delivered to clients.
- Process Improvement: Contribute ideas to improve our project management processes. Based on your on-the-ground experience, suggest tools or practices that could enhance efficiency, documentation, or team collaboration in future projects.
Qualifications
- Experience: 2+ years of experience in project coordination or project support, preferably within the technology, cybersecurity, or IT consulting sectors. Experience working on projects with multiple stakeholders and workstreams is beneficial.
- Organizational Skills: Excellent organizational and multitasking abilities. Proven skill in managing schedules, documentation, and logistics for projects with many moving parts. Attention to detail is critical in this role.
- Communication: Strong written and verbal communication skills. Comfortable drafting professional emails, coordinating meetings, and interacting with both colleagues and clients.
- Tech Proficiency: Proficient with project management and collaboration tools (e.g., MS Project, Excel, Jira, Trello, Confluence, or similar). Adept at using videoconferencing and communication apps to coordinate remote teams.
- Understanding of Tech/Security (Plus): Basic understanding of IT or cybersecurity concepts is a plus. While not a technical role, curiosity about quantum technology and security will help you grasp project context and communicate effectively with the team.
- Education: Bachelor’s degree in Business, Management, Information Systems, or a related field. A project management certification or coursework (e.g., CAPM, PRINCE2 Foundation) is a plus but not required.
